About the Company
Tappr builds Digital Product Passport infrastructure for EU regulatory compliance (ESPR, EUDR, PPWR). We help brands get their products compliant before enforcement deadlines hit. We're a small, fast-moving team spread across Rotterdam, Warsaw, Brussels, and Belgrade — and we're growing quickly.
The Role
You'll be the operational backbone of Tappr: the person who makes sure invoices go out, contracts get filed, tools get renewed, new hires get onboarded, and the CEO's calendar doesn't collapse. You work directly with the founder and touch every part of the business.
Responsibilities
- Own day-to-day administration: invoicing, expense processing, supplier and subscription management
- Keep contracts, NDAs, and compliance documentation organized and up to date
- Support HR admin: onboarding new team members, contractor agreements, tracking time off
- Manage the CEO's calendar, schedule client and partner meetings across time zones
- Prepare and polish documents, decks, and meeting notes
- Coordinate with our accountant, legal counsel, and other external partners
- Handle inbound requests (email, phone) and route them to the right person
- Spot broken processes and fix them before anyone asks
Requirements
- 3+ years in office management, executive assistance, or operations — ideally at a startup or scale-up
- Excellent written English; Dutch is a strong plus
- Highly organized and self-directed — you'll work remotely with a distributed team and minimal supervision
- Comfortable with modern tooling (Google Workspace, Notion, Slack) and quick to learn new software — we use AI tools heavily and expect you to as well
- Discreet with sensitive information (contracts, payroll, client data)
- Based in an EU-compatible time zone (CET ±2)
Nice to Have
- Experience supporting a founder/CEO directly
- Familiarity with Dutch business administration (KvK, BTW, B2B invoicing)
- Background in a B2B SaaS environment
