The Role

As the Remote Concierge Coordinator, you will serve as the primary liaison between AMFE guests and our team, ensuring efficient logistics and communication that align with our core values. Your proactive support will enhance guest relations during tours, festivals, and special events worldwide. This remote position requires 8 hours of work per day and availability for international travel during major tours, managing various time zones, primarily based in CET.

Responsibilities

• Act as the main point of contact for clients and guests during tours, managing travel, event, and leisure arrangements.
• Plan and support all travel logistics to ensure seamless experiences for guests and the team.
• Address and anticipate guest needs, ensuring prompt and high-standard handling of requests.
• Serve as the definitive source of information on guests, locations, and needs.
• Facilitate communication between guests and the AMFE team, providing timely information on travel, transport, venues, and events.
• Delegate tasks to the AMFE team and ensure timely completion.
• Coordinate guest arrivals and departures, maintaining smooth logistics and service quality.
• Uphold health and safety standards for guests and staff while ensuring quality control.
• Contribute innovative ideas to enhance guest experience and service delivery.
• Monitor guest feedback and refine service strategies to consistently meet expectations.
• Provide regular updates and reports to senior management on guest interactions and activities.
• Maintain accurate records in integrated platforms and process map current requests.

Requirements

• Minimum 5 years of experience in events, arts, or entertainment, focusing on artist travel and touring logistics.
• Extensive knowledge of the hospitality industry, preferably with hotel concierge experience (BA/BSc in Hospitality or Business preferred).
• Exceptional customer service skills, managing clients’ travel, drivers, hotel bookings, activities, and bespoke requests.
• Excellent written English; additional languages are advantageous.
• Strong communication and listening skills, especially with high-profile clients.
• Proven problem-solving ability and confidence in managing expectations under pressure.
• Strong leadership skills and a proactive mindset.
• Ability to meet strict response-time standards (initial response within 5 minutes; updates every 3 hours).
