We operate across 9 European markets with over 1,100 employees, transitioning from a federation of country businesses to a unified operating model known as One Epassi.

The Role

In this role, you will support every employee at Epassi by providing an exceptional employee experience and ensuring the operational People engine runs smoothly. You will be the first point of contact for employment-related inquiries, maintaining accurate contracts and records, ensuring timely payments, and providing clear answers to employee questions.

Responsibilities

• Manage employee administration throughout the full lifecycle, including contracts, onboarding, changes, leave, and offboarding.
• Maintain accurate employee records in HiBob, ensuring compliance and completeness.
• Resolve queries from employees and managers through our ticketing system, adhering to service standards.
• Guide stakeholders on People processes and local employment requirements, escalating complex cases as needed.
• Update local policies, templates, and process documentation regularly.
• Handle employee data securely in compliance with GDPR and local regulations.
• Collaborate with People, Finance, IT, and other teams to ensure a seamless employee experience.
• Lead smaller improvement projects related to documentation and data quality, contributing to larger standardization efforts.
• Identify repetitive tasks and help simplify or automate processes, providing support across markets when necessary.
• Share knowledge with new team members to help them navigate processes and tools.

Payroll

• Oversee the internal monthly payroll for the Netherlands, ensuring accurate and timely payments.
• Collect and process payroll inputs, including new hires, terminations, salary changes, bonuses, and deductions.
• Perform payroll calculations, verify results, investigate discrepancies, and make necessary corrections.
• Prepare payment files and reconcile payroll with Finance, managing all statutory payroll requirements.
• Submit required reports and declarations to authorities and health insurance providers.
• Administer local benefits and respond to employee inquiries regarding salary, deductions, and taxes.
• Manage year-end activities, including statutory reporting and audit requests.
• Keep payroll documentation current and follow legislative changes to improve processes.

Responsibilities may evolve as the People Operations service and Epassi continue to grow.

What You'll Bring

• Strong knowledge of local employment law and payroll processes.
• Proficiency in using HiBob or similar HRIS and familiarity with payroll systems.

Your Language Profile

• Dutch - Native / C2 (mandatory)
• English - B2-C1 (mandatory)

Your Track Record

• Proven experience in HR administration across the full employee lifecycle.
• Demonstrated experience running or coordinating payroll end to end.
• A history of maintaining accurate employee data in an HRIS.
• Experience as a first point of contact for HR queries.
• Background in a mid-sized organization (ideally 400–1,200 employees).
