Puma In A Tank is an audience-first production company focused on developing new entertainment IP, including film and series. As an early-stage startup with a small, agile team, we prioritize audience engagement and innovative operational methods. In this role, you will manage the daily operations of the company, taking over from our Head of Operations. You will be responsible for ensuring that financial processes run smoothly, deadlines are met, and all necessary documentation is in order.

You will act as the operational backbone of the company, reporting directly to the Head of Operations. Your responsibilities will include:

• Financial operations: processing and paying contractor and supplier invoices, maintaining budget and cashflow trackers, and keeping accurate payee records.
• Accountant relationship: managing external accountants, preparing financial information, and tracking compliance and filing deadlines.
• Contractor administration: drafting and managing statements of work, onboarding freelancers, and coordinating payment schedules.
• Contracts & deal memos: drafting and managing writer agreements and deal memos for production, working with templates and external counsel.
• Process building: documenting and improving operational processes to ensure scalability.
• Production operations: supporting film projects with contractor coordination and tracking key external deadlines.
• People operations: handling hiring logistics, employment permits, and internships.
• Documentation & admin: organizing company documentation across systems like Notion and Google Workspace.

Vereisten

• 4+ years of operations experience, preferably in a startup or small company with end-to-end ownership.
• Hands-on financial operations experience, including invoice processing and budget tracking.
• Experience managing contractors and freelancers, including agreements and payments.
• Self-directed and comfortable with ambiguity, able to create processes from scratch.
• Proficient with AI tools (e.g. Claude, ChatGPT) to optimize workflows.
• Strong problem-solving skills and the ability to work independently.
• Excellent written English and attention to detail.
• Based in or willing to relocate to Amsterdam with the right to work in the Netherlands.

Nice to Have

• Background in film, TV, or creative production.
• Familiarity with Irish or Dutch company administration.
• A legal foundation, such as a law degree or contract drafting experience.
• Experience as a Chief of Staff or senior EA.
• Proficiency with Notion, Google Workspace, and Monday.com.
