The Role

The Associate Import/Export Supply Chain Specialist (Level 3) plays a crucial role in managing Order-to-Invoice activities within the global To-the-Market Supply Chain, ensuring the compliant distribution of pharmaceutical products. This position coordinates end-to-end shipments for both internal and external customers, oversees import/export documentation, and promotes operational excellence across logistics processes.

The Role

You will serve as a key contact within Supply Chain Operations, collaborating closely with internal teams (Affiliates, Manufacturing Sites, Quality, Planning) and external partners (Distributors, Third-Party Logistics providers) to ensure timely deliveries, resolve issues, and drive continuous improvement in a GMP/GDP-regulated environment.

Responsibilities

  • Ensure reliable and compliant global distribution of pharmaceutical products in accordance with GDP/GMP standards.
  • Process and manage supply orders daily within Order-to-Cash workflows.
  • Coordinate end-to-end shipment activities for imports and exports, including documentation and compliance.
  • Book, track, and monitor shipments, proactively identifying and addressing potential delays or risks.
  • Serve as the first point of contact for logistics, service, and transport-related issues, ensuring timely resolutions.
  • Coordinate and execute product return processes following company procedures.
  • Collaborate with third-party logistics providers and internal stakeholders to ensure smooth supply chain operations.
  • Build and maintain strong relationships with internal departments and external customers (affiliates, distributors, etc.).
  • Represent Supply Chain Operations in cross-functional projects and initiatives.
  • Identify opportunities for process optimization and continuous improvement within Order-to-Cash activities.
  • Support KPI tracking and reporting to monitor performance and derive operational insights.
  • Ensure compliance with GDP/GMP standards and maintain current training records.
  • Review and contribute to Order-to-Cash policies and procedures, recommending improvements as necessary.
  • Support business continuity efforts by contributing to disaster recovery planning with Planning, Distribution, and Quality teams.
  • Ensure data accuracy and integrity across supply chain systems and documentation.

Requirements

  • Bachelor’s degree in Supply Chain, Logistics, Business Administration, or a related field, or equivalent combination of education and experience.
  • Minimum 2 years of experience in Supply Chain, Logistics, or Customer Service within a GMP and/or GDP-regulated environment.
  • Hands-on experience with order processing, shipment coordination, and import/export documentation.
  • Strong understanding of supply chain processes, including Order-to-Cash workflows.
  • Ability to manage multiple tasks simultaneously in a fast-paced, international environment.
  • Strong problem-solving skills with the capability to proactively identify and resolve issues.
  • Excellent communication skills and the ability to work cross-functionally with diverse stakeholders.
  • Customer-focused mindset with a high level of attention to detail.
  • Proficiency in systems and computer-based work (experience with ERP systems preferred).
  • Fluency in English, both written and spoken.

Nice to Have

  • Experience in pharmaceutical or highly regulated industries.
  • Experience working with third-party logistics providers (3PLs).
  • Knowledge of ERP systems (e.g., SAP) and logistics tracking tools.
  • Experience within Customer Service or Supply Chain Operations teams.
  • Exposure to continuous improvement or process optimization initiatives.
