The Role

We are seeking a Business Operations Manager to design, enhance, and take ownership of the operational framework for a rapidly growing global DTC beauty brand. This role is not for a coordinator; we need someone who has developed a comprehensive operational backbone for a high-growth eCommerce brand, including systems, processes, dashboards, workflows, automations, and data clarity. You will transform speed into structure, chaos into predictability, and teams into a coordinated execution engine. This position reports directly to the CEO and offers a clear path to C-suite roles.

The Role

You will be responsible for building and managing the company’s entire operational system to ensure that every department—Marketing, Creative, Product, Ops, CX, Retention, Compliance—executes efficiently, communicates effectively, and operates predictably. Your systems will serve as the foundation for the company's growth.

This is a fully remote contractor position, reporting directly to the CEO and collaborating closely with all departments.

  • Exposure to advanced eCommerce setups, including multi-country rollouts, VSL funnels, and custom integrations.

Responsibilities

  1. Rebuild & Own the Operating System

    • Architect all internal systems.
    • Rebuild ClickUp from the ground up.
    • Structure spaces, workflows, automations, and dashboards.
    • Maintain system hygiene and enforce accountability.
    • Create living documentation for each department.
    • Standardize workflows across the company.
  2. Process Design & Documentation

    • Develop the company's internal knowledge infrastructure.
    • Map current workflows across departments.
    • Design clean, scalable processes.
    • Build a comprehensive SOP Library.
    • Create role-specific documentation and execution guidelines.
  3. Cross-Functional Execution Management

    • Manage the operating rhythm of the entire company.
    • Lead weekly sprints for Creative, Retention, Ops, Product, and CX.
    • Convert meetings into actionable tasks, timelines, and ownership.
    • Track progress and eliminate blockers.
    • Keep teams aligned and accountable.
  4. New Product & Project Execution

    • Oversee end-to-end launch workflows.
    • Establish predictable launch timelines.
    • Synchronize efforts across Product, Ops, Compliance, Creative, and CX.
    • Track critical paths and ensure deadlines are met.
    • Maintain visibility across departments.
  5. Automation & AI Integration

    • Enhance speed and minimize manual work.
    • Develop operational automations (Slack, ClickUp, data alerts, triggers).
    • Implement AI agents for reporting, quality control, and SOP drafting.
    • Eliminate repetitive tasks and inefficiencies.
  6. Data Layer & KPI Visibility

    • Create the company’s single source of truth.
    • Build automated dashboards.
    • Ensure data accuracy and reliability.
    • Own operational KPIs (refunds, chargebacks, NPS, retention, inventory, throughput, execution speed).
    • Lead weekly/monthly operational reviews with the CEO.

Requirements

  • 4+ years in DTC / eCommerce operations.
  • Experience building ClickUp/Asana systems from scratch.
  • Developed SOP libraries.
  • Managed cross-functional teams.
  • Scaling experience in fast-growth, founder-led brands.
  • Strong project management and automation skills.
  • Systems-first mindset.
  • Excellent communication and leadership abilities.
  • Bonus: Familiarity with EOS/Traction.

What Success Looks Like

  • 30 Days: Rebuilt the ClickUp foundation and established immediate clarity.
  • 60 Days: Sprints run predictably, teams are aligned, and blockers are resolved swiftly.
  • 90 Days: Launches, operations, and workflows are running smoothly with full visibility.
  • 6 Months: Built the operational infrastructure for scaling, enabling leadership to operate with clarity instead of chaos.
